Custom Notion & Airtable Systems

For teams doing operational work

I design custom Notion and Airtable systems for founders and small teams whose current setup is starting to slow them down.

Most people already use tools. They just do not work together cleanly. Information lives in multiple places. Ownership exists, but it is not always visible. Status updates require messages, meetings, or reminders. When work volume increases, the cracks show.

My role is to bring structure to that reality so the system can support the work instead of adding friction to it.

What this work usually involves

Teams often have some combination of the following:

  • Projects spread across Notion, Airtable, Slack, and email
  • Tasks tracked inconsistently or not at all
  • Ownership understood informally rather than reflected in the system
  • Leaders lacking a clear view of what is moving and what is stuck
  • A setup that works until priorities shift or deadlines stack up

This is common when a business grows faster than its internal structure.

What I build

I design systems that give teams a clear and reliable way to:

  • Understand what work is active
  • See who owns what
  • Track progress without constant follow-ups
  • Focus attention on what needs action
  • Maintain the system without ongoing cleanup

The goal is a setup that holds up during busy periods and changing priorities.

How I approach system design

My background is in hands-on operations work. The systems I build are shaped by environments where multiple people, deadlines, and responsibilities overlap.

Because of that, I spend time understanding how work actually moves through your business before building anything.

That usually means looking at:

  • How work enters the system
  • Where it changes hands
  • Where decisions are made
  • Where delays tend to occur
  • Who needs visibility and when

The structure comes from those answers. Tools and layouts follow after.

Engagement scope and timeline

This is a one-month, clearly scoped engagement.

Timeline
Up to four weeks from kickoff to final handoff.

Scope

  • One primary operational system built in Notion or Airtable, or a clearly defined combination
  • A focused set of core workflows such as projects, clients, or internal operations
  • Ownership, status logic, and visibility built directly into the system

The scope is intentionally defined to allow for depth and follow-through. Additional phases can be discussed after delivery if needed.

What I typically design

Each system is custom, but common components include:

  • Project or client operations hubs
  • Centralized task and status tracking
  • Ownership and responsibility structures
  • Airtable databases that support workflows
  • Notion dashboards that surface current priorities

The result is a system your team can use and maintain without relying on memory or constant coordination.

What the engagement looks like

1. Intake and discovery
You complete a detailed intake that helps me understand how your team operates today, what is working, and where things feel fragile.

2. System mapping and design
I map workflows, ownership points, and data structure before building. This keeps the system understandable and coherent from the start.

3. Build and implementation
I build the system directly in your workspace. This may include databases, views, dashboards, and limited automation. Naming and structure are designed so the system can be maintained internally.

4. Walkthrough and handoff
We review how the system is structured, how to use it day to day, and how to adjust it as needs change.

Who this work is a good fit for

This engagement tends to work well for:

  • Founders or operators managing growing operational complexity
  • Small teams that have outgrown informal systems
  • Businesses that want clearer execution without adding unnecessary process
  • Teams looking for structure that supports real work

If you want a system that reflects how your team actually operates, this is likely a good fit.

Pricing

Core Ops System: $1,200

This covers workflow analysis, system design, hands-on build, refinement, and handoff.

This is not a template or downloadable product. Each system is built for a specific team and set of workflows. Larger or more complex builds may require a separate scope.

Next steps

All projects follow a structured onboarding process.

  1. You submit a detailed intake
  2. I review for scope and fit
  3. If it makes sense to move forward, I outline system direction, structure, and next steps

No work begins without alignment.
